Title: Outlook: Merge calendars?
Post by: Simon on Apr 30, 2009, 21:12:43
I have two calendars set up in Outlook, which I now wish to merge.  Is there an easy way to do this, without re-entering all the #2 calendar entries into the default calendar manually?

Go to the Folder view, select the Calendar you want to move the entries from, then pick View->Arrange By-Categories, then just select them all and drag them into the Calendar you want to move them from.

(Checked in Outlook 2003 - other versions may vary.)

ps. You may also be able to Copy and Paste using a similar technique, but I haven't tried it. If you don't want to actually merge them, you can also view both calendars at once, side by side.

Thanks, Giz, I'll try that.  Not exactly obvious, is it?   ::)  I want to merge them so I can sync with my phone.  Not sure what will happen if I try to sync separate calendars.

Well, that worked!  :karmic:

Great. On the Mac in iCal, I did it by exporting the calendar to a file then importing it into another calender. I'm not sure if Outlook can do something similar.

It may do, Seb, and I didn't think of that.

Here is the easy way http://outlook-tips.net/archives/2006/20060405.htm

QuoteThe solution when you need to merge two calendars into one: choose a table view (the By Category view works great for this because it includes all events and appointments), select all (Ctrl+A) and drag the items from one calendar to the other.

I guessed the same solution - I've used it several times now to roll selected data in old PST files onto new machines without copying all the user settings and stuff over.

Funny, they all seem pretty easy solutions, but none of them immediately obvious, if you're just looking at the calendar!

Nothing is ever immediately obvious when looking at Outlook. :)

How true - doubly so in Outlook 2007, which I find even more confusing (and toy-looking!) than 2003. ::)

I know what you mean, Giz.

I only use the Calendar part of it, as Sunbird doesn't quite cut it.

It's the part I don't use as I've had all my contacts and calendar info on a Palm since they were first made by USR (we got a free issue as sysops on Compuserve!).

Outlook has to be the most complex part of the Office suite.

Well, confusing anyway. :)

I fail to see why you can't select all from the main calendar, but at least I've learnt something.  :)
